WebEx is committed to protecting your privacy and ensuring you have a positive experience on our website and in using our products and services (collectively “Services”). This policy outlines our personal information handling practices for both online and offline data. If you give us personal information, we will treat it according to this policy.

This policy covers the WebEx website and is applicable worldwide. WebEx is a wholly-owned subsidiary of Cisco Systems, Inc. (“Cisco”). However, it is important to understand this privacy statement is separate and distinct from the policies of Cisco and www.cisco.com.

We encourage you to read this privacy policy and those of all websites you visit. In addition, where more detailed information is needed to explain our privacy practices, or if a particular Service processes your personal information in a manner different than this policy, we will at the end of this policy supplement these privacy practices to describe how each such particular Service processes personal information.

Collection of your personal information

We will always tell you before we collect any personal information and inform you of the purpose of the collection. “Personal Information” is any information that can be used to identify an individual, and may include, but is not limited to, name, email address, postal or other physical address, credit or debit card number, title, and other information required to provide a Service, deliver a product, or carry out a transaction you have requested. Some of the reasons we collect your Personal Information include:

  • Registration for an account.
  • Use of certain features of our products or Services.
  • Requesting service and support for our products or Services and providing such support.

  • To understand more about you, so we can personalize newsletters and websites to your preferences. For example, allow you the opportunity to request specific information on products and services that may be of interest.
  • To allow you to forward information to another individual such as a friend or co-worker. WebEx does not store the personal information of the third party. We collect the information for the sole purpose of sending a one-time email. If you choose to use our referral service to inform a colleague or friend, we will only ask for a contact name and email address.
  • To meet contract obligations.

Accessing and updating your Personal Information

We need your help in keeping the Personal Information you have shared with us accurate and up to date. Please notify us of any changes to your Personal Information.

If you are a registered user of any of our Services, you may make these updates yourself online. You have the ability to direct WebEx to edit, or correct your Personal Information at any time. Non-personal/anonymous information collection

In some instances, WebEx may collect non-personal (aggregate or demographic) data through cookies, web logs, and web beacons. This information is used to better understand and improve the usability, performance, and effectiveness of the website. Please read the “Cookies” section below for more information.

In addition, by using some of our Services, anonymous network information may be transmitted back to us such as the health of our Services. This information is transmitted back to us so we can determine how users are interacting with our Services, to assist us with improving our Services, and to provide alerts via the Service as to Service changes.


Sharing your personal information

We do not sell or rent your Personal Information to third parties for marketing purposes unless you have granted us permission to do so.

We may share your Personal Information within WebEx, our parent company, Cisco or any of Cisco’s subsidiaries for purposes of data processing or storage.

We may also share your Personal Information with business partners, service vendors, authorized third-party agents or contractors in order to provide a requested Service or transaction, including processing orders, processing credit card transactions, hosting websites, hosting event and seminar registration and providing customer support. We only provide these third parties with the minimum amount of Personal Information necessary to complete/utilize the requested Service or transaction, and the third parties are not permitted to use your Personal Information except for limited purpose of completing/providing the requested Service or transaction.

We may respond to subpoenas, court orders, or legal process by disclosing your Personal Information and other related information, if necessary. We also may choose to establish or exercise our legal rights or defend against legal claims.

We may collect and possibly share Personal Information and any other additional information available to us in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of WebEx’s terms of service, or as otherwise required by law.

While navigating WebEx’s web site or Services you may be directed to content or functionality that is hosted by a third-party supplier. When information is collected on behalf of WebEx exclusively, WebEx’s privacy policy will be referenced and will govern how your information is used. For other, non-WebEx sites or services, the site/service owner’s privacy policy will be referenced. You should review such supplier’s privacy and security policies prior to use.

We will ask for your consent before we use or share your information for any purpose other than the reason you provided it or as otherwise provided by this policy. In order to let us know your preferences, we will require an action on your part, such as checking the appropriate option, to indicate your consent.


Security of your Personal Information

WebEx is committed to protecting the Personal Information you share with us. We utilize a combination of industry-standard security technologies, procedures, and organizational measures to help protect your Personal Information from unauthorized access, use or disclosure.

When we transfer credit card information over the Internet, we protect it using Secure Sockets Layer (SSL) encryption technology.

While we strive to protect your Personal Information, we cannot ensure the security of the information you transmit.

We recommend you to take every precaution in protecting your Personal Information when you are on the Internet. For example, change your passwords often, use a combination of letters and numbers when creating passwords, and make sure you use a secure browser.

Cookies

Like many websites, WebEx uses technologies, such as cookies and web beacons, which allow us to make your visit to our website easier, more efficient and more valuable by providing you with a customized experience and recognizing you when you return.

A cookie cannot read personal data off your hard disk or read cookie files created by other sites; indeed, the only Personal Information a cookie can contain is information you supply yourself. Accepting the cookies used on our website may give us access to information about your browsing behavior, which we may use to personalize your experience and track user traffic patterns, and to merge this info when you register. Newsgroups/forums

If you participate in a WebEx discussion forum or chat room, you should be aware that the information you provide there will be made broadly available to others, potentially inside or outside WebEx, who have access to that discussion forum or chat room. Also, please recognize that individual forums and chat rooms may have additional rules and conditions. Each participant’s opinion on a forum or chat room is his or her own and should not be considered as reflecting the opinion of WebEx.

Children’s privacy

WebEx does not knowingly collect Personal Information from children under the age of 13. If we learn that we have collected Personal Information on a child under the age of 13, we will delete that data from our systems. WebEx encourages parents and guardians to go online with their children. Here are a few tips to help make a child’s online experience safer:

  • Teach children never to give Personal Information (such as name, address, phone number, school, etc.) unless supervised by a parent or responsible adult.
  • Know the sites your children are visiting and which sites are appropriate.
  • Look for website privacy policies. Know how your child’s information is treated.

Consent to Transfer, Processing and Storage of Personal Information

We may transfer your Personal Information to the United States, to any WebEx or Cisco subsidiary worldwide, or to third parties acting on our behalf for the purposes of processing or storage, and by providing any Personal Information you fully understand and unambiguously consent to such transfer, processing and storage of such information.

Your California Privacy Rights

Residents of the State of California, under a new provision of the California Civil Code, have the right to request from companies conducting business in California, a list of all third parties to which the company has disclosed Personal Information during the preceding year for direct marketing purposes. Alternatively, the law provides that if the company has a privacy policy that gives either an Opt-out or Opt-in choice for use of your Personal Information by third parties (such as advertisers) for marketing purposes, the company may instead provide you with information on how to exercise your disclosure choice options.

WebEx qualifies for the alternative option; it has a comprehensive privacy policy and provides you with details on how you may either Opt-out or Opt-in to the use of your Personal Information by third parties for direct marketing purposes. Therefore, we are not required to maintain or disclose a list of the third parties that received your Personal Information for marketing purposes during the preceding year.

Personal Information Collected

WebEx’s servers automatically record certain information about your use of this Service such as account activity (e.g., storage usage, number of log-ins, actions taken and your IP address), data displayed or clicked on and other log information. WebEx also retains Personal Information and other information uploaded, provided or created using certain Service features, including, 1) For meeting attendees: name and email address, public IP address 2) for meeting hosts: name, email address, public IP address and optionally, phone numbers and mailing address.

Storage and Security of Personal Information


In addition to WebEx storing Personal Information, such information is stored on the computer utilized with the Service. If you use the Service from a public computer, such information will be stored on such public computer. Personal Information stored on the computer is protected using encryption technology.

Sharing your Personal Information

WebEx provides meeting usage reports to the customer of the WebEx service utilized, which may include your Personal Information.

Supplemental Privacy Practices – WebEx Connect

The following describes our practices with respect to the WebEx Connect Service.

Personal Information Collected


WebEx’s servers automatically record certain information about your use of this Service such as account activity (e.g., storage usage, number of log-ins, actions taken and your IP address), data displayed or clicked on and other log information. WebEx also retains Personal Information and other information uploaded, provided or created using certain Service features, including, 1) chat: chat history, participants, timing and presence detection; 2) contacts: name, address, email address, phone number, alias, picture, company, department, title; and website; 3) calendar widget: event, location, time, participants; 4) spaces: file name, size, access log, revision history, space name, participants.

Storage and Security of Personal Information


All such Personal Information unique to the Connect Service is stored by WebEx and on the computer utilized with the Service. If you use the Service from a public computer, such information will be stored on such public computer. Personal Information stored on the computer is protected using encryption technology.

Sharing your Personal Information


In specific instances, when a third party wants to add you as a contact, your presence will be automatically made available to them. In addition, if your employer subscribes to this Service, your Personal Information will be made available to your employer.

Supplemental Privacy Practices – Cisco WebEx Mail

The following describes our practices with respect to the Cisco WebEx Mail service (“CWM”).

Personal Information Collected


WebEx requires some Personal Information when provisioning a CWM mailbox. WebEx stores, processes and maintains your messages, contact lists and other data related to each mailbox in order to provide the CWM service. WebEx’s servers automatically record certain information about your use of CWM such as account activity (e.g., storage usage, number of log-ins, actions taken and your IP address), data displayed or clicked on and other log information. WebEx analyzes email for spam, viruses and malware and other characteristics before delivering such filtered email. As a result of such filtering, WebEx may also collect and retain information about the e-mails filtered through CWM, and may quarantine certain emails filtered through the Service. This notice is not intended to be a complete or exhaustive list of the information WebEx may collect or log in the course of providing or improving the Service.

Storage and Security of Personal Information


In addition to WebEx storing Personal Information, such information is stored on the computer utilized with the CWM service. If you use the service from a public computer, such information will be stored on such public computer. Personal Information stored on the computer is protected using encryption technology. Services have security measures in place to protect against the loss, misuse, or alteration of the information under our control. Your contact and financial information is submitted via a secure (HTTPS) connection and stored in the WebEx database protected by a firewall. WebEx stores the information you provide on computer systems with limited access, which are located in controlled facilities.

Sharing your Personal Information

A user’s Personal Information may be made available to the purchaser of the user’s Cisco WebEx Mail service, upon verification of the purchaser’s identity and authority.
