The following describes our practices with respect to the Cisco Webex Meetings, Meeting Center and Event Center services (collectively "Service").
Personal Information Collected
Our servers automatically record certain information about your use of this Service such as account activity (e.g., current presence, video and storage usage, number of log-ins, actions taken and your IP address), data displayed or clicked on, meeting start/end times, meeting durations, and other log information, at both the user level and the account level. We also retain Personal Information and other information uploaded, provided or created using certain Service features, including: 1) for meeting attendees: name and email address, public IP address and browser, 2) for meeting hosts: name, email address, public IP address, browser and optionally, phone numbers and mailing address. If you enable the "Monitor Webex media traffic" site option, we will gather the Mediatrace data (described here) from your site for use with troubleshooting tools. You may disable this option in your Site Admin Configuration page.
Certain Services also allow users to upload and share agendas, files, meeting notes comments and recordings before, during and after the meeting ("Content") in a persistent, centralized meeting space (a "Meeting Space"). Users can remove previously uploaded Content from the Meeting Space by accessing that specific Meeting Space.
The Service includes a feature that allows audio, attendee list and any files and other materials exchanged or viewed during the meeting to be recorded. By joining the meeting, you automatically consent to such recordings. If you do not consent to the recording, discuss your concerns with the meeting host prior to the start of the recording or do not join the meeting. Please note that any such recordings may be subject to discovery in the event of litigation.
We may use your Personal Information to notify you of certain Service alerts, features and requests while using the Service.
Storage and Security of Personal Information
In addition to the storing Personal Information and Content by us, such information is stored on the computer utilized with the Service. If you use the Service from a public computer, such information will be stored on such public computer. Personal Information stored on the computer is protected using encryption technology.
Sharing Your Personal Information
We provide meeting usage reports to the customer of the Cisco Webex service utilized, which may include your Personal Information. Your Personal Information and Content stored in a Meeting Space may be accessed by and distributed to other users of the same Meeting Space, wherever they are located. This distribution of information can happen at any time, and without your consent, at the discretion of the meeting host. We have no control over, and are not responsible or liable for, the privacy of any Content that you have shared with others. Even after you remove information from a Meeting Space, copies of that Content may remain viewable elsewhere to the extent it has been shared with others.
