Your first step, if you haven't already, is installing the Webex Meetings app. You can also access Webex Meetings in your browser by visiting our Meetings sign-in page.
Scheduling

From the desktop app
1Sign in to your account.
2Select Schedule to go to the Schedule a Meeting page.
3Select a meeting template.
4Enter the meeting information and invite attendees by email by email address.
5Click Schedule.
Use Webex Productivity Tools to make scheduling easier
Webex Productivity Tools allow you to schedule, start, and join Webex meetings directly in Microsoft Outlook.
1From the Downloads page on your Webex site, under Cisco Webex Productivity Tool, select Download.
2When the installation is finished, open the Webex Meetings desktop app, click Schedule.
3A new Outlook calendar invitation will open, and the Webex invite information will auto-populate.

From the mobile app
1Swipe left to My Meetings, then tap the schedule icon “” in the top right-hand corner of the app.
2Give your meeting a title.
3Edit the time and date of the meeting.
4Add the email addresses of your meeting guests.
5Tap Schedule in the top right-hand corner.
If you can’t access your regular calendar for any reason - you can still schedule a meeting. Just use your Personal room.
Starting and joining meetings
- From a calendar invite
- From the desktop app

1Click Join in your email invitation to join the meeting.
2Click the installer file to install
the Cisco Webex Meetings app.
- If you have trouble downloading the app, click Download the app
again. If you can’t download the app click Join from your
browser.
3Enter your name and email address and click Next.
4Enter the meeting password -it’s in the email invitation- and click Next.
5Click Show me what’s
new for a quick tour or select Skip.
- You see a video preview of how you’ll look to others.
6Change your audio and video seetings before joining your meeting.
7Click Join Meeting.

Start a meeting in your personal room
1Click Start a Meeting.
2Choose your audio and video settings before joining your meeting.
3Click Start Meeting.
Join a scheduled meeting from the Upcoming Meeting List
1Click Join next to the meeting when it’s time.
2Enter the meeting password, if necessary, and click Join.
3Choose your audio and video settings before joining your meeting.
4Click Join Meeting.
Join a Meeting from the Search Bar
1Enter a Personal Room ID, meeting number, or meeting link and click Join.
2Enter the meeting password, if necessary, and click Join.
3Choose your audio and video settings before joining your meeting.
4Click Join Meeting.

Start a meeting in your personal room
You must be signed in
1Tap Start Meeting.
2Choose your audio and video settings before joining and tap Start.
Join a scheduled meeting from the Upcoming Meeting List
1Swipe right to My Meetings.
2Tap Join next to your meeting in the meeting list.
3Choose your audio and video settings before joining and tap Join.
Join a Meeting using Meeting Number
1Tap Join Meeting.
2Enter the 9-digit Meeting Number from the email invite or enter the URL of the Personal Room in the text box.
3Tap Join in the top right corner of your screen.
4Choose your audio and video settings before joining and tap Join.
Best practices for Meetings audio and video
It’s always good to have yourself all set up before joining a meeting. Here are some best practices to make your meetings better for everyone.

Take a moment to preview the video feed and make sure your lighting is sufficient, and surroundings are clear of anything you don't want other guests to see.

We recommend using a headset to reduce distractions for you and keep background noise from disrupting the meeting.

Mute your microphone in meetings when you’re not speaking to avoid distractions or interruptions to the meeting.

Sharing, notetaking, and whiteboarding
Sharing anything
It’s always easier to explain by showing. While in your meeting, share an application, file, or your entire screen with remote guests in real-time.
1Hover your mouse over the meeting to display in-meeting controls.
2Click Share.
3Select the content you want to share, including individual files or documents, applications, multimedia, or your entire screen with everything you have open and in view.

2Click Share, and then select New Whiteboard.

Notetaking for all
How to annotate
1While you’re sharing content, hover the mouse over the You’re sharing message at the top of the screen and click Annotate.
2Click an option from the Annotate toolbar.
Meeting hosts can allow participants to annotate on content that’s being shared.
1Click on the Participant menu.
2Select Assign Privileges.
3Select Participants and check the Annotate check box.
